Job Description

Manage and coordinate the execution of projects, ensuring alignment with project objectives, scope, timelines, and agreed deliverables.

Manage project activities with technical teams, vendors, partners, and stakeholders to ensure smooth project execution and timely delivery.

Coordinate with vendors and internal teams to ensure licenses, subscriptions, hardware, software, and related deliverables are delivered as per the approved project scope and timeline.

Follow up on license delivery, activation, entitlement confirmation, access provisioning, and any required vendor support to ensure the solution is ready for implementation.

Track and escalate any delays related to vendor delivery, license activation, technical readiness, or dependency with internal teams.

Maintain accurate and organized project documentation, including project plans, meeting minutes, progress reports, delivery notes, acceptance certificates, and closure documents.

Facilitate communication between project teams, vendors, customers, and internal stakeholders, ensuring clarity, transparency, and timely updates.

Track project tasks, milestones, deliverables, and dependencies, monitoring progress and addressing any issues that may arise.

Collaborate with cross-functional teams including Sales, Presales, Finance, Delivery, Technical Teams, Vendors, and Customers to gather information and provide regular updates.

Track project revenue recognition milestones and coordinate with Finance, Sales, Delivery, and customers to ensure timely revenue recognition.

Monitor project billing, invoicing status, and Accounts Receivable collection progress, and escalate delays where required.

Ensure timely project completion by tracking delivery milestones, customer acceptance, handover activities, and formal project closure.

Monitor project budget, cost consumption, and contingency utilization to avoid cost overruns.

Assist in identifying potential project risks, financial risks, delivery challenges, vendor dependencies, and customer-related issues, and contribute to mitigation plans.

Support the implementation of quality assurance processes to meet project and organizational standards.

Manage changes in project scope by assessing impact on timeline, cost, revenue, resources, contingency, and customer commitments.

Prepare regular project status reports and updates for stakeholders and leadership, including project progress, revenue status, AR status, risks, issues, contingency position, and closure status.

Support in addressing and resolving issues, conflicts, and escalations that may occur during the project lifecycle.

Ensure all required delivery documents, activation confirmations, vendor records, customer acceptance documents, and project closure documents are properly maintained.
Skills and Requirements

Bachelor’s degree in Project Management, Business, Engineering, Information Technology, or a related field.

4+ years of experience in project coordination, project management, or a similar role.

Familiarity with project management methodologies, tools, and techniques.

Good understanding of project financial tracking, including revenue recognition, billing, Accounts Receivable, cost control, and contingency tracking.

Ability to coordinate with technical teams, vendors, partners, customers, and internal stakeholders.
-
Strong communication, interpersonal, coordination, and organizational skills.
-
Ability to track project milestones, risks, issues, dependencies, and closure requirements.

Proficient in project management software, reporting tools, and documentation management.

HSE Requirement
- Collaborate with HSE teams to implement safety controls, manage hazardous materials, and mitigate impacts.
- Promote a culture of safety within engineering teams, ensuring that all projects prioritize the well-being of employees and the environment.
- Reports on progress/issues to HSE focal point
- Provide administrative support to the Health, Safety, and Environment (HSE) department. Maintain and organize HSE documentation, including records of incidents, audits, and training sessions.
- Support HSE focal point for all types of emergencies
